Why "standard" hardware is suddenly hard to buy

Standard hardware is supposed to be the easy part of maintenance. Increasingly it is not. A cable pulley called out in a 1970s parts catalog, a self-locking nut in an odd thread, a mil-spec O-ring in a size the automotive world never uses — any of these can come back "no quote" or "180-day lead" from the distributors you have used for years. The usual causes are mundane, and knowing them tells you what to try next:

Line minimums. Distributors quote to a minimum line value. Your need for eight washers does not clear it, so the system no-quotes rather than quoting $40 of hardware with $30 of handling.

Stock rationalization. Slow-turning items get dropped. The part is still made; nobody near you inventories it anymore.

Superseded identifiers. Your catalog page says AN365; the distributor's system stocks it as MS20365 and does not cross-reference. The search fails on the string, not the part. Our guide to MS, NAS, AN & AS part numbers covers the supersession chains in detail.

Government-channel items. Some hardware is produced mainly against defense demand and moves through DLA solicitations rather than commercial distribution. It exists — in lots, behind stock numbers — but a commercial part-number search never sees it.

A no-quote means that identifier, at that distributor. It rarely means the part is gone. The rest of this guide is about what to do next.

Widening the Search

Use the NSN cross-reference like a second index

Every standard part the government stocks carries a 13-digit National Stock Number, and the NSN is deliberately independent of any one part number. That makes it a second index into the same universe of hardware. The working method:

1. Resolve the part number to its NSN. A part number lookup gives you the stock number and the Federal Supply Class. For example, the groove pulley MS20219-4 resolves to NSN 3020-00-277-1119 — one item, two identifiers, either of which can be quoted.

2. Search by NSN as well as by part number. Government-surplus dealers, DLA-oriented suppliers, and overseas manufacturers often catalog by stock number only. An NSN search surfaces inventory a part-number search misses entirely — including stock listed under a superseded number, since old and new part numbers typically share one NSN.

3. Browse the supply class for near neighbors. The first four NSN digits group like items: FSC 5305 is screws, 5306 bolts, 5310 nuts and washers, 5320 rivets, 5331 O-rings, 4730 fittings. When an exact dash number is scarce, the class listing shows what adjacent sizes actually exist in supply — useful intelligence before you call your engineer or IA about an approved alternate.

What paperwork to expect — and what not to expect

Source documentation: the normal case for standard hardware

Stock mil-spec hardware sold through distribution normally ships with source documentation: identification of the item and its manufacturer, lot or batch traceability where it exists, certificates of conformance where available, and country-of-origin paperwork. That documentation is what lets your receiving inspection do its job — confirm the item is what the paperwork says, from where the paperwork says.

FAA Form 8130-3: often absent, and that is normal

An FAA Form 8130-3 is an authorized release certificate issued by specific approved parties. Standard hardware frequently moves through supply chains — including government supply chains — where no 8130-3 is ever generated, and much perfectly legitimate mil-spec hardware is sold without one. The installer or owner is responsible for accepting the part under their own maintenance program, repair station procedures, or owner/operator authority. A repair station's manual says what its receiving inspection requires; a Part 91 owner-operator works with their mechanic or IA. If your program requires an 8130-3, establish that at RFQ time, not at receiving.

Standard parts vs. owner-produced parts, in one paragraph

At a high level — this is orientation, not legal or regulatory advice — U.S. rules treat standard parts (parts made to an established industry or U.S. government specification, like the MS and NAS hardware discussed here) differently from other replacement parts: conformity to the published specification is the touchstone. Separately, an owner or operator may under certain conditions produce parts for installation on their own aircraft — the owner-produced part path — which carries its own conformity and documentation burden. Which path applies, and what evidence your program requires, is a determination for you and your maintenance provider. Where sourcing meets that second path is custom machining, covered below.

Budget & Lead Time

Two numbers matter on every hardware line: the price you will actually pay per piece at your quantity, and the date the parts will actually arrive. Practical habits that keep both under control:

Prefer published pricing where it exists. RFQ-only pricing costs you a day per iteration. Our catalog publishes the unit price on every NSN page and part-number page — the pulley above shows $30.00 on its page — so you can budget a bill of materials before sending a single RFQ. Volume pricing is quoted on request.

Assume minimums. Hardware moves in lots. A minimum order may apply on our stock lines — confirm it on the quote — and some line minimum exists at virtually every distributor. For consumables like screws and nuts and washers, buying the minimum into bench stock is usually cheaper than paying handling twice.

Plan to the quoted window, not the hoped-for one. Our fulfillment is within 90 days of order. Much of the industry quotes similarly on slow-moving mil-spec items — and worse on no-stock items that trigger a production run. The scheduled-maintenance move is to order hardware when the work is planned, not when the panel is open.

Batch the odd items. If three obscure lines share a supplier, one order against one minimum beats three no-quotes. The class hubs make it easy to see what else you can pull from the same source.

The Other Path

When to machine the part instead

Some sourcing problems are not sourcing problems. If the part is print-defined rather than standard, if the standard design is long obsolete with no active manufacturer, or if you need a modified version of a standard part, the answer is a machine shop, not a fourth distributor call. Signals that you have crossed that line: every search path dead-ends at the same two surplus lots of unknown provenance; the OEM quotes a four-figure price for a simple turned bushing; or the drawing in your hands is the type certificate holder's, not a mil standard's.
